Overview

For over 30 years, ITS ConGlobal has been a proven and successful leader in professional intermodal services.  Our success is based strongly on the positive attitudes, skills and performance of our entire workforce.  To continue on our mission of total customer satisfaction and internal efficiency, we seek an Admin Assistant reporting to the VP of Repair and Maintenance.  We currently service and maintain over 1500 pieces of equipment located at over 60 terminals across the country

Responsibilities

The Admin Assistant reporting to the VP of Repair and Maintenance is responsible for assisting with:

  • Equipment Maintenance Reports and record keeping.
  • Helping to write / document new policies and procedures
  • Work with the Regional Maintenance Managers as needed for information and reporting data
  • Assists in managing the budget.
  • Work with supervisors from other departments to assure customer(s) request are addressed accordingly & timely.
  • Maintains a variety of records, calendar, schedules, files, etc.
  • Monitors activities and/or projects.
  • Performs record keeping (confidential and non-confidential) and general and program specific clerical functions.
  • Prepares a variety of written materials (e.g. correspondence, memos, fiscal and statistical reports, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  • Processes documents and materials (e.g. bid packets, contracts, specifications, purchase requisitions, mail, etc.) for the purpose of disseminating information in compliance with program.
  • Researches a wide variety of topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information for addressing a variety of administrative requirements.
  • Responds to inquiries from a variety of internal and external parties (in person and by telephone) (e.g. staff, auditors) for the purpose of providing information, facilitating communication among parties and/or providing direction.
  • Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
  • Assist in documenting policies and procedures.
  • Must be able to read, examine, and organize documents.
  • Assist with generating weekly and monthly reports as they pertain to fleet needs
  • The ability to multitask and focus in a fast pace environment is essential
  • Other assignments as needed.

Qualifications

  • Previous administrative role required Supervisory skills required Must be proficient with Microsoft Office
  • Previous container depot or heavy equipment experience is a plus

  • Excellent verbal and written communication skills Must have excellent reasoning abilities (i.e. drawing valid conclusions from data, interpreting technical instructions and understand abstract concepts)
